2010 Exhibitor Kit

Exhibitors:

Thank you for being a part of the 6th Annual Dental Managers Conference presented by the American Association of Dental Office Managers.

Each Exhibitor will have one 6 foot long skirted table, 2 chairs and waste basket.  The floor is carpeted. Tables will be pre-assigned.
 
PLEASE NOTE: All exhibitors will be asked to donate a door prize for our "VIVA LAS VEGAS" Contest. This is a very successful program we run each year to increase traffic to your booth. More info. to follow.
 
 
AIRPORT
Taxis run regularly from McCarran airport. The ride is 15-20 minutes and one-way taxi fare is $10-$20.
 
ATTIRE
Attire during conference hours is business casual.  
 
BOOTH NUMBERS
COMPANY REPRESENTATIVES
Each company will be given one registration for a company representative. Each additional representative will need to register at a rate of $295.00
 
DATES
The conference is October 22-23, 2010
Pre-conference sessions will be run on the afternoon of October 21st (no exhibit hall)

DOOR PRIZES
All exhibitors will be asked to kindly donate a prize for our "Viva Las Vegas" Contest. This is a very effective contest that we run every year and it generates a great deal of traffic and excitement for your booth. At our "Prize Ceremony" on Saturday, October 23rd, a representative from your company will personally pick the winner and hand out the prize. We will send more details to you as the conference date gets closer.
 
ELECTRICITY
If you need electrical services at your booth, there will be an addl. fee from the hotel. A company called TSE will be contacting you approximately 4-6 weeks prior to the conference to assess your electrical needs.   If you have any questions prior to that, you may contact them at:

FRIDAY NIGHT EVENT
Please join us for our Friday Night Event.  Phantom - The Las Vegas Spectacular is an all-new production of The Phantom of the Opera, which reunited Andrew Lloyd Webber, director Hal Prince and others from the show's original creative team. Phantom - The Las Vegas Spectacular is a can't-miss experience and promises surprises that will astound new audiences and loyal Phantom fans alike! This is a great way to network with conference attendees. You must register for this when you complete your on-line registration. GOING GREEN

NAME BADGES
Name badges will not be issued in advance. You can pick up your name badge at the Registration Desk at the conference. Please be sure to stop at the Registration Desk first to pick up your badge and materials, as anyone without a valid name badge will not permitted into sessions.

RESTAURANTS
Breakfast and lunch will be provided on both Friday and Saturday. For additional meals, there are TONS of great restaurants in Las Vegas. The Las Vegas Hilton also has wonderful restaurants right in the hotel where our conference will be:
 
SECURITY
Please note that the Exhibit Hall will not be locked at night. We advise all exhibitors to not leave any valuables (laptops, personal items, etc). in the Exhibit Hall overnight.  Neither AADOM or the Las Vegas Hilton will be responsible for any items left in the Exhibit Hall during hours it is not open for the conference.

SHIPPING
You may send materials up to 7 days prior to the start of the conference. Please use the following format when addressing your shipping labels for your conference materials.  All shipping labels must be addressed as follows:

HOLD FOR ARRIVAL:
(Last Name, First Name of person who will pick up package and his/her arrival date)
 
All shipments are receive at Las Vegas Hilton Business Center. In order to claim a shipment, the person designated on the shipping label just needs to go to the Business Center, confirm the boxes have been received and sign for them (there will be handling fees, see below). You will need to present a method of payment upon signature.  At that point, the Business Center staff can assist with delivery to meeting locations as needed.

16-30 lbs $15.00
31-50 lbs $20.00
51-75 lbs $25.00
76-100 lbs $35.00
101-150 lbs $50.00

Shipping Out:  Please have all of your materials boxed up and ready for shipping.  For your convenience, the business center will have a table set up near the Exhibit Room to assist you with your labels and will accept & ship your boxes.  Exhibitors who have their own pre-paid digital labels will receive a 20% discount off of their handling fees, so print your labels ahead of time to save money and expedite your process. The Business Center can also issue you shipping labels if your company does not have a FedEx or UPS account.
