2009 Office Manager of the Year

KAY VALENTINE
 
 
      There is something special in our office called the "KAY FACTOR". What is this you ask? Well let me start about 3 years ago when my office was in serious trouble. My former office manager embezzled thousands of dollars; I had absolutely no system no systems in place and 3.5 hygienists producing an average of $73/hour; my team was unmotivated; my account receivables collection ratio was around 68%; and I loathed coming to work. I was managing my practice to fail (a "Kay Factor" terminology). I was going downhill when Kay Valentine, my current office manager, soared into my life! She has 22 years experience and was ready to take on new challenges! Without hesitation, she accepted my dysfunctional office. "When you know better... you do better," she would often say to me.
 
       I now have weekly team meetings, solid office systems and 2.5 hygienists producing an average of $148/hour with a 98.9% average collection ratio.  I hired my first associate after 10 years of private practice and opened a second location.  My dental dream team is keyed up and shares a common vision... To meet, exceed, delight, and amaze - every patient, every time, the first time. One of Kay' s main goals after finally getting the office back on its feet was to go outside our office walls and start 'paying it forward.' In this short period of time, my team has participated in two mission trips to Mexico where we closed our entire office and volunteered a week of our time to those less fortunate.  We are also now engaged in treating patients in local assisted living centers.  I've worked many long hours with no sufficient results and now I'm working 3.5 days a week and producing a monthly average of $100,000+! This is pretty impressive right? Well, believe it or not, this is only the beginning of what she has done!
 
      Not only did she inherit a dysfunctional dental practice but she also got involved in my co-op marketing business called eDentist.com!.  It's the largest dentist-patient marketing service in Indianapolis! After attending last year's AADOM meeting and taking the course "How to Start a Study Club" she hosted the first Office Managers Study Club of Indiana in November 2008!
