Implementing New Dental Techniques: The Essential Role of Team Training and Communication

Real-World Insights from Katerina O'Donoghue, MAADOM.

Bringing new technologies and techniques into the dental office is essential for providing top-tier patient care. However, successfully implementing new procedures takes more than just investing in equipment or a doctor’s learning. Training your team to integrate new skills into their daily workflow is equally important to ensure great patient care while keeping the office running efficiently.

Through experience, we’ve learned that effective team training involves several steps-each one just as important as the next-in order to achieve seamless adoption and long-term success.

Preparing the Right Team

Preparation step: If a doctor needs to travel to learn a new skill, it’s important to choose the right people to go. They will be the ones coaching the rest of the team on the new technology when they return. Ask your team who is interested in going, but keep in mind it’s not always possible for everyone to attend.

Make sure the people who go are good candidates to train the rest of the team afterward. Depending on the training, decide whether it’s the clinical team, the administrative team, or both who should attend.

When it’s time to implement a new technique, the first step is helping the team understand its benefits. Will this approach improve patient outcomes, enhance comfort, or streamline the workflow? The doctor introducing the new technique needs to clearly explain why the change is being made and what positive results are expected.

It’s crucial that the team buys into the idea-without their support, implementing anything new can be challenging. At this stage, the doctor should share their vision and make sure the entire team is fully on board.

Getting everyone excited about the new technique and reassuring them of ongoing support throughout the learning process is key to success.

Creating Space for Hands-On Learning

The second step is to set aside dedicated time for the actual training.

Since schedules are always busy, it’s important to block out slots specifically for team development. Allowing extra time for appointments helps reduce stress and makes patients feel more comfortable.

During hands-on training in the office, it’s essential to keep the schedule light for a set period and ensure everyone is available. For example, when we trained on robotic-assisted surgeries, we scheduled two full weeks of implant patients and allowed more time for each procedure than usual. This approach let us train at a steady pace without rushing or worrying about the next appointment.

Having the same type of procedures scheduled over those two weeks gave us the chance to repeat the workflow until we mastered it. While the procedures initially took extra time, the goal was to perform them smoothly, which ultimately improved overall efficiency.

During this period, reassure your team that they have your full support and that their efforts will benefit both them and the practice in the long run. Make the experience engaging by encouraging open communication, having team members quiz each other, and providing support throughout the learning curve.

Communicating Your New Technique

Third Step: Once the new technique is fully integrated into clinical practice, it’s important to inform your patients about your innovation. Train your team on the right language to use. They’ll be speaking with patients and answering questions, so they need to be confident and well-informed.

Patients are naturally curious when they see something new, so it’s essential that your team knows the answers. Their confidence will reassure patients, helping them feel comfortable and fully trust their doctors.

Be sure to update your marketing materials so patients and the community know what’s available. Scheduling complimentary consultations or hosting an open house are great ways to promote new services.

Offering a limited-time discount on procedures using the new technique gives your team more opportunities to practice while helping spread the word to patients who could benefit from the treatment.

The Impact of a Well-Trained Team

As we see in our practice, a well-trained team builds patient trust, improves efficiency, and ensures a smooth transition to new dental techniques. Clear communication, ongoing education, and structured training all contribute to the excellence of the practice while continuously improving patient care.

With these steps in place, your dental office will be well-equipped to embrace innovation and deliver the highest quality care to your patients.
