The Power of Culture

Real-World Insights from Nikki Ray, FAADOM.

Just imagine: You are a new patient walking into your office for the very first time.

  • Is your reception area clean and tidy?
  • Were you greeted when you walked in?
  • How did you feel when the dental assistant or hygienist called for you and escorted you to their operatory?
  • Do you hear team members laughing and enjoying their work, or is there tension?
  • Did the doctor address all of your concerns?
  • How was the checkout process?

Every step is so important during, not only the first appointment, but all appointments. The best way to ensure new patients turn into lifelong patients is to make sure they feel seen, heard, and valued at every appointment.

More Than Dentistry

Of course, patients expect excellent care, but what they don’t always expect is the feeling of genuine welcome. Patients pick up on laughter between team members and the sense that everyone in the office is working together. That’s where culture comes in.

Office culture is the invisible thread that ties every interaction together. It’s in the way the front desk greets patients by name, the dental assistant offers reassurance during treatment, and the hygienist or dentist takes the time to answer questions with patience and clarity. For patients, culture feels less like an organizational system and more like a warm atmosphere they feel good to be in.

When a patient feels good about a dental office, they become an advocate for your office. In a world where word-of-mouth is still the most powerful form of marketing, culture becomes your practice’s greatest asset.

It’s the most effective form of advertising and best of all… It’s FREE. All you have to do is make the patient feel good, and they will sell your office to everyone they know.

The Manager’s Influence

As an office manager, you are the guardian of this culture. You set the tone by modeling respect, encouraging teamwork, and ensuring that systems support, not hinder, the patient experience. You are the one who helps translate values into daily habits that patients can feel at every visit.

More Than a Feeling

Outstanding office culture isn’t fluff. It’s a strategy. It’s the difference between being just another dental office and being their dental office.

When patients sense kindness, consistency, and care every time they walk through the door, they stop shopping around. They become not only lifelong patients, but lifelong advocates.

Tips for Success

  1. Have a mission statement and core values. If you don’t already have these, collaborate with your doctors to develop a mission statement and 3–4 core values that reflect the vision for your practice. Present them at your next team meeting and weave them into your daily routines.
  2. Have a morning huddle. Starting the day with a 5-10 minute morning huddle helps keep everyone aligned. Use it to review the schedule, flag special patient needs, and ensure everyone is aligned before the first patient walks in.
  3. Stay consistent. Culture is only effective when it’s lived daily. Hold your team accountable to your mission and values. If someone consistently struggles to align, it may be a sign they aren’t the right fit for your practice.
  4. Ask for reviews. Don’t be shy about asking happy patients for feedback. Many software programs can send automatic review requests, making it easy for patients to share their experience.

Bonus tip: Make it fun. Turn review collection into a friendly competition. Have patients mention a team member by name in their review, and reward the team member with the most mentions. Prizes can be big or small—anything from a gift card for coffee to a spa treatment. These contests not only motivate your team but also boost your online presence. (In our office, this strategy helped us reach over 900 Google reviews in just a few years!)

Building Patient Loyalty Through Culture

In dentistry, culture may be invisible, but its impact is undeniable. It’s what transforms a nervous first-time visitor into a loyal patient who says, “I wouldn’t go anywhere else.” And for practices that embrace it, culture doesn’t just fill schedules; it builds legacies.

My office values patient relationships at the same level as quality dental care. We strive to keep our patients with the same doctor and hygienist every time, so they can build a relationship that keeps them coming back. When patients come in and see familiar faces, they start to feel like a part of our family.

With our exceptional relationship-based culture, we are fortunate enough to bring over 100 new patients every month without paying a cent on advertising. This has also allowed us to start dropping insurance participation while keeping our patients. They love us so much that they would rather pay a little more out of pocket than go anywhere else.

In the end, culture isn’t just what happens inside the office; it’s what patients carry with them when they leave, and what brings them back again.
