Here are a few lessons (and reminders) that have helped me keep the cash flowing and the stress low.

At our office, we make it a habit to clearly explain treatment estimates before anything begins. We go over what insurance will likely cover, what’s out of pocket, and the available payment options—credit card, cash, or patient financing.

Being upfront builds trust and helps prevent those awkward “surprise bill” moments. Patients deserve to know exactly what they’re agreeing to, and we deserve to collect payment without a chase. Clear communication means smoother transactions, less confusion, and more confidence for everyone involved.

2. Spend Smart and Stay Organized

It’s easy to get caught up focusing only on the money coming in, but what’s going out matters just as much. Tracking expenses carefully helps you protect your profit and avoid unnecessary waste.

Think of your invoices like recall appointments—you don’t want to let them pile up! Create a simple system for processing vendor payments, approving supply orders, and documenting expenses. Review your spending regularly to see where you might be able to save.

You’d be surprised how often a little price comparison or a bulk-order discount can make a big difference. Staying on top of expenses helps your office stay lean, efficient, and financially strong.
